Responsibilities

- Oversee day-to-day operations of the Sydney office, ensuring a smooth, efficient, and welcoming environment for staff and clients.
- Manage office supplies, equipment, and facilities, including liaising with vendors and coordinating maintenance as needed.
- Supervise and support office administration staff, providing clear direction, training, and ongoing feedback.
- Coordinate staff rosters, leave requests, and timesheet approvals to maintain adequate coverage and compliance.
- Assist with onboarding new employees and organising necessary documentation, resources, and workspace setup.
- Prepare, review, and process invoices, expense reports, and petty cash in line with company policies.
- Maintain accurate client records and confidential information in accordance with privacy and compliance standards.
- Support counsellors and consultants with scheduling, documentation, and client communications.
- Oversee reception duties, ensuring all visitors and callers receive prompt and professional service.
- Develop and streamline office procedures to promote efficiency and best practice.
- Organise internal meetings, training sessions, and staff events, including room bookings and catering.
- Ensure compliance with WHS (Work Health & Safety) requirements, conducting regular checks and reporting hazards.
- Assist with basic IT troubleshooting and escalate technical issues to the appropriate support teams.
- Monitor and manage office budgets, identifying cost-saving opportunities without compromising service quality.
- Foster a positive, inclusive, and collaborative workplace culture that reflects CECA’s values and commitment to client success.

Qualifications

- Proven experience as an Office Manager or in a similar administrative role, ideally within the education or migration sector.
- Strong knowledge of Australian office procedures, financial administration, and compliance standards.
- Exceptional organisational, multitasking, and time management skills with keen attention to detail.
- Excellent written and verbal communication abilities, with a client-focused approach.
- Proficient in Microsoft Office Suite, database management, and general office technology.
- Ability to support, motivate, and coordinate a diverse team in a fast-paced environment.
- Demonstrated problem-solving skills and a proactive, solutions-driven mindset.
- Understanding of privacy, confidentiality, and ethical practices in handling sensitive information.
- Full working rights in Australia; knowledge of ANZSCO 512111 Office Manager requirements highly regarded.
